Privacy Policy

Last Updated: November 4, 2025

Look, we get it - nobody likes reading legal stuff. But your privacy matters to us, so we're laying it all out straight. No corporate jargon, just the real deal about how we handle your info.

When you sign up to train with us, we're gonna need some basics to keep things running smooth:

  • Personal Details: Your name, email, phone number, address - the usual stuff so we can reach you about classes and updates.
  • Health Information: Any injuries, medical conditions, or limitations we should know about. This isn't us being nosy - it's about keeping you safe when you're pushing your limits on the mats.
  • Payment Info: Credit card details, billing address - whatever's needed to process your membership. We use secure payment processors, not storing full card numbers on our end.
  • Training Records: Attendance, class participation, progress notes. Helps us track your journey and see how you're improving.
  • Photos & Videos: Sometimes we capture training sessions or events. If you're in a shot and don't want it used, just let us know.

We're not selling your info to random companies or spamming you with nonsense. Here's what we actually do with it:

  • Managing Your Membership: Processing payments, scheduling classes, tracking your attendance.
  • Safety First: Making sure our coaches know about any health concerns before you step into the cage or roll on the mats.
  • Communication: Sending updates about schedule changes, new programs, events, or important gym news. We keep it relevant.
  • Improving Our Services: Understanding what's working and what needs tweaking so we can give you better training.
  • Legal Stuff: Sometimes we gotta keep records for liability reasons or comply with Canadian regulations.

We keep your info locked down tight. The only people who see it are:

  • Our Staff: Coaches and admin team need access to do their jobs - managing schedules, providing proper training guidance, handling memberships.
  • Payment Processors: Third-party services that handle credit card transactions securely. They've got their own strict privacy standards.
  • Legal Requirements: If we're legally required to share info with authorities, we will - but only what's absolutely necessary.
  • Service Providers: Sometimes we use tools for email communication, scheduling software, or website hosting. These companies are bound by confidentiality agreements.

What we DON'T do: Sell your data to marketers, share it with unrelated businesses, or use it for anything sketchy. Period.

Our website uses cookies - not the edible kind, unfortunately. These are small files that help the site work better:

  • Essential Cookies: Keep you logged in, remember your preferences, make sure forms work properly.
  • Analytics: Help us understand how people use the site so we can improve it. We use this to see what pages are popular, where folks get stuck, that kind of thing.
  • Your Control: You can disable cookies in your browser settings if you want, though some site features might not work as smoothly.

We take security seriously - probably as seriously as we take proper technique during sparring. Here's how we protect your info:

  • Encryption: Your data is encrypted both when it's being transmitted and when it's stored on our servers.
  • Secure Systems: We use industry-standard security measures, firewalls, and regular updates to keep everything locked down.
  • Limited Access: Only authorized staff members have access to sensitive information, and they're trained on privacy protocols.
  • Regular Audits: We review our security practices regularly to stay ahead of potential threats.

That said, no system is 100% bulletproof. We do everything we can to protect your data, but if there's ever a breach, we'll let you know immediately and work to fix it.

It's your data, so you've got control over it. Here's what you can do:

  • Access Your Info: Want to see what we've got on file? Just ask. We'll get you a copy.
  • Update or Correct: If something's wrong or outdated, let us know and we'll fix it.
  • Delete Your Data: Want us to remove your information? We can do that, though we might need to keep some records for legal or legitimate business reasons.
  • Opt-Out of Marketing: Don't want promotional emails? Hit the unsubscribe button or tell us directly. You'll still get important stuff about your membership though.
  • Withdraw Consent: If you've given permission for something specific (like using your photo), you can take it back anytime.

To exercise any of these rights, just reach out to us at info@dreadveilfrontier.info or call (604) 755-8924.

We don't hang onto your info forever. Here's the breakdown:

  • Active Membership: We keep everything current while you're training with us.
  • After You Leave: Most personal data gets deleted within a year of your membership ending, unless there's a specific reason to keep it longer.
  • Financial Records: Tax laws require us to keep billing and payment info for up to 7 years. Can't avoid that one.
  • Legal Hold: If there's an ongoing legal matter or dispute, we might need to keep relevant records until it's resolved.

Our website might have links to other sites - social media, partner organizations, equipment suppliers, whatever. Just so you know, we're not responsible for their privacy practices. Once you click away from our site, their rules apply. Always worth checking their privacy policies if you're concerned.

If you're under 18, we need a parent or guardian's permission before you can sign up and train with us. We take extra care with minors' information and won't collect anything beyond what's necessary for their training and safety. Parents can request to see, update, or delete their kid's information anytime.

Laws change, our business evolves, and sometimes we need to update this policy. When we do, we'll post the new version here with an updated date at the top. If there are major changes that affect how we handle your data, we'll let you know directly via email or a notice when you log in.

It's worth checking back here occasionally to stay in the loop, but we promise not to pull any sneaky moves without telling you first.

We're based in Vancouver, BC, so we follow Canadian privacy laws, specifically PIPEDA (Personal Information Protection and Electronic Documents Act). This means:

  • We only collect info that's necessary for legitimate business purposes
  • We get your consent before using your data
  • We're transparent about what we're doing with your information
  • You have rights to access and control your personal data
  • We're accountable for protecting your privacy

If you've got concerns about how we're handling your data, you can file a complaint with the Office of the Privacy Commissioner of Canada.
